During the first few months of planning your wedding, you will mostly focus on the big details, like your wedding venue, photographer, florist, and dress. But as your wedding day draws near, you’ll need to dig into some of the nitty-gritty details. And, one of them is transportation. This is typically a task that we suggest sorting out when your countdown hits three to six months, but sooner is great, too!

How are you, your partner, and your wedding party getting to your wedding ceremony? What about your reception? How are your families arriving at both locations? What about your wedding guests? 

There are plenty of questions to consider when wedding transportation is involved. So, today we’re going to explain how wedding transportation works, who is typically transported, and which modes to consider. Let’s get started!

Why do we need wedding transportation? 

The purpose of wedding transportation is to provide wedding goers with rides from a starting location (most often a hotel) to the ceremony and reception. This can include anyone from brides, grooms, wedding parties, family members, and sometimes guests, depending on your wedding plans. Most transportation contracts include roundtrip transportation. So the same group (though perhaps different drivers) will return at the end of the night to pick everyone up and return them to the starting point (again, most often a hotel). 

Wedding transportation is helpful for a multitude of reasons. Firstly, it ensures everyone from your group makes it from point A to point B, and in a timely fashion! Secondly, wedding transportation helps keep everyone safe. Many wedding guests will enjoy a drink (or a few) at your celebration, so providing them with transportation ensures no one drinks and drives. Lastly, offering wedding transportation is simply a nice thing to do!

Should we book wedding transportation for our guests? 

If you have a number of guests visiting from out of town and staying in hotels, booking wedding transportation for them is a wonderful gesture. Not many people enjoy driving in locations they are not familiar with. A reliable ride provided with a driver who knows the route is almost always welcomed by guests. 

Most commonly, couples book wedding transportation to help their out-of-town guests. But some couples choose to book transportation if their venue doesn’t have ample parking on-site (we’re looking at you, city wedding venues!) Plus, it’s again a great safety feature to keep in mind for guests who plan to drink.

What type of wedding transportation is available?

There are a variety of wedding transportation options to consider! Of course, they all vary in price. Below, we’re sharing the five most common for you to keep in mind.

Charter Bus:

The most common type of transportation is a charter bus. They’re often equally as large as a school bus, but they offer a slightly more upscale experience. If you’re planning to offer transportation for everyone, including your wedding guests, this is a great way to go!

School Bus:

If your primary concern is offering transportation that will take your guests from one location to your ceremony and reception on much more of a budget, contact a school bus company! Typically, school districts don’t get involved in celebration transportation. But there are other local companies who do. A little research can go a long way — and save you big time!

Local Flavor

Certain cities are known for specific types of transportation, and one of these modes might be a great choice for your wedding. A trolley, for example, is an elegant and fun way to arrive and depart from a wedding. Plus, it’s a popular way to get from one place to another in cities like Philadelphia and Savannah, so it can feel like a tourist experience.

Limo or Town Car:

If your main concern is transporting you, your partner, your wedding party, and your immediate family– consider a limo or town car. Either can be reserved in a size to accommodate a large group. Or, you can choose to size down so only certain people, like the couple and their parents, can indulge in a ride.

Uber or Lyft:

If you’re interested in wedding transportation but you’re also hoping to save money, look to Uber or Lyft. Either rideshare company will be able to accommodate a ride in a high traffic area, like a city, and you don’t have to reserve your car in advance. If you do want to offer transportation to your guests but would like to skip a bus rental, presenting them with rideshare gift cards when they check into their hotel is a kind gesture. 

Of course, if your wedding is taking place at a singular location, this may not be something you’ll need to worry about or budget for. If you’re on an especially tight budget, skip the limo rental and opt for a more affordable ride option instead. But if you’re planning an event with multiple locations, it’s a good thing to keep in mind for the practical reasons we’ve shared.

While wedding transportation is definitely not required, it’s helpful from a logistical and safety standpoint. It offers your out-of-town guests a way to get to and from your wedding without stress or hassle. In our opinion, no matter which route you choose, be is a bus, trolley, or town car, the simplicity and peace of mind is worth the cost!
